The purchasing problem
A successful sample purchase does not by itself establish a repeatable production supply arrangement. The production requirement must specify the approved part identity and what was learned during evaluation.
What changes the requirement
Samples, pilot builds and production releases have different quantity, packaging and documentation needs. Engineering approval should identify the exact part and any acceptance limits rather than only the base family name. A later order may involve a different lot and needs its own review.
Sourcing risks
Customers can lose the link between evaluated parts and production orders if suffixes, packaging or substitutions are not recorded. Buying ahead without agreed commercial terms can also leave cancellation and scheduling expectations unclear.
Before requesting a quotation
- Evaluated full MPN and approved board revision
- Sample quantity, pilot quantity and production forecast kept separate
- Accepted packaging, lot and date-code requirements
- Customer validation owner and approval milestone
- Delivery stages and conditions that must be confirmed before purchase
A practical procurement approach
Start with the sample requirement and record the offered part and packaging. Release the pilot order after customer approval. Reconfirm supply and terms for each production stage; a forecast is not a confirmed stock reservation or an accepted order.
