Procurement guidance · Updated 29 October 2026 · Manufacturer references identify product context; offered lots and system suitability require separate review.
The purchasing problem
A request for “recent date code” is difficult to quote consistently. Buyers need to define what is acceptable and which records must accompany the offered material.
What changes the requirement
Date code, lot identification, manufacturer label and storage history answer different questions. A label review can help identify discrepancies but does not establish electrical performance or complete manufacturer traceability. Older date codes do not alone prove failure; acceptance depends on the customer’s requirements and evidence.
Sourcing risks
Mixed lots, unclear photographs or incomplete records can create uncertainty during incoming inspection. A photograph from a previous offer should not be used as proof of a new lot. Source limitations must be disclosed before purchase.
Before requesting a quotation
- Minimum or permitted date-code range, if required
- Single-lot requirement or permission for mixed lots
- Actual offered-lot label and package photographs
- Available source and handling documents
- Required independent inspection or test scope, if applicable
A practical procurement approach
Agree the lot criteria before comparing offers. Keep the accepted evidence with the quotation and purchasing record. If evidence is insufficient, identify the gap and ask the customer whether additional checks are required; avoid treating a visual check as an authenticity guarantee.
